Satellite Session Booking

Satellite sessions take place in the conference centre but are fully organised and coordinated by the organisation hosting the session. Satellite Sessions are only intended for conference participants already registered for the event. Conference organisers make satellite slots
available for a fee and will allocate slots based on the overall conference programme, venue size and organisations preferred slots. The programme committee will review the contents and speakers of the satellite session to ensure that they meet the scientific and ethical principles of the conference.


Satellites should reflect and/or support the vision and the goals of the conference. A conference room will be provided with the equipment and standard setup and will be at the disposal of the organisation for the duration of the satellite session. Branding will be allowed inside the session venue only. Satellite sessions are intended for participants already registered for the conference and the organizations are urged to work with the conference organisers to ensure all invited guests have been registered prior to the event. 

Use of the conference name and logo is permitted, and high-resolution versions are available should the hosting organization wish to promote their session. It is important to note that only catering provided by the Durban ICC can be used for a satellite session. No outside catering organisation will be given access to the conference venue.

Pre-conference sessions take place from 09:00 to 15:00 on the 1st day, before the opening session.


Day Session take place between 09:00 and 17:30, please ask for exact time before booking a session.


Evening sessions take place from 18:00 to 20:00 on the Wednesday evening.


IMPORTANT SATELLITE SESSION INFORMATION
You may provide catering to the delegates that attend your session, but please note that only the Durban ICC may supply the catering. No outside caterers will be allowed to enter the premises or provide any catering to the conference delegates whatsoever.

SATELLITE SESSION CANCELLATION, AND “NO SHOW” POLICY
All cancellations must be motivated for in writing and are approved at the discretion of the organisers. All approved cancellations made before 1 st July 2025 will be subject to a 50% planning and administration fee. After 1st August 2025 no refunds will be applicable. No
substitutions are permitted without the written consent of the conference organisers. 

All refunds will be made after the conclusion of the Conference.
